Cancellation policy
1. Booking & Payment
All DFA event and workshop bookings must be paid in full at the time of booking to secure your place. Spaces are limited and allocated on a first-come, first-served basis.
2. Participant Cancellations
DFA workshops are limited-capacity events. Late cancellations prevent other participants from attending and directly impact delivery costs. This policy ensures fairness to both participants and the business.
More than 14 days before the event
You are eligible for a full refund or the option to transfer to another DFA event/workshop.
7–14 days before the event
You are eligible for a 50% refund, or a full credit transfer to a future DFA event/workshop.
Less than 7 days before the event
No refunds will be issued unless agreed with the Lead Instructor. See Exceptional Circumstances below.
You may request to transfer your place to another person (see Section 3).
Non-attendance
Failure to attend without notice will be treated as a late cancellation, and no refund or credit will be automatically issued. Please contact the Lead Instructor to discuss further.
3. Transfer of Booking
You may transfer your place to another individual at no cost.
DFA must be notified at least 24 hours before the event with the new participant’s details.
The replacement participant must complete any required waivers or forms prior to attendance.
4. DFA Cancellations or Changes
DFA reserves the right to cancel, reschedule, or make changes to events due to unforeseen circumstances, including but not limited to:
- Instructor illness
- Low attendance
- Venue issues
- Safety concerns
In such cases, you will be offered:
- A full refund, or
- A transfer to a rescheduled or alternative event
DFA is not liable for any additional costs incurred (e.g., travel, accommodation).
5. Exceptional Circumstances
We understand that emergencies happen. In genuine cases (e.g., medical emergencies), DFA may, at its discretion, offer:
- A partial refund, or
- A credit for future use
Requests must be supported with reasonable evidence where applicable.
6. Late Arrivals
Participants arriving significantly late may not be permitted to join if it disrupts the session or compromises safety.
No refunds will be issued for late arrivals.
7. Health & Safety Compliance
All participants must complete required PARQ/waiver forms prior to attending.
DFA reserves the right to refuse participation if safety requirements are not met.
No refund will be issued if refusal is due to non-compliance.
8. Contact for Cancellations
All cancellation or transfer requests must be made in writing via:
Email: support@defensivefitness.co.uk
Requests are only considered valid once acknowledged by DFA.
9. Policy Acceptance
By booking a DFA event or workshop, you agree to this cancellation policy in full.
